Application Portal Journey — From Registration to Student

This guide explains every step of the UBACHST Portal: how to register, complete your form, submit your application, understand your status after admission, and what happens when your record is moved to the student portal. Keep this document for reference; use Print / Save as PDF above to save a copy.

Uthman Bin Affan College Of Health Science And Technology (UBACHST) uses two separate online portals: the Application Portal (for applying) and the Student Portal (for registered students after admission). You will only use the application portal until your record is officially converted to a student.

Important: Keep your application number and payment references safe. After conversion, your matric number becomes your main student identifier.

Create account & log in

Application-Register → Application-Login → First-login security

  1. Register — Go to Application Register. Enter your surname, first name, email, phone, date of birth, and choose your application form/session. You will receive an activation link by email if required.
  2. Activate account — Click the link in your email or use direct activation if provided by the college.
  3. Log in — Use Application Login with your email and password. Your initial password is often your phone number at registration.
  4. First-login security — On first login you may be asked to change your password or confirm keeping your phone number as the password (/Applicant/First-Login-Security).
Use a valid email and phone number — they are used for payments, admission letters, and later student portal access.

Complete the application form

Checklist on Dashboard — track % complete

Your dashboard shows an Application checklist with required and optional steps. Complete each section from the sidebar or the step cards:

Progress bar shows how many required steps are done. Optional steps improve your file but may not block submission.

Preview & submit

Preview → confirm → application locked for editing

  • When all required sections are complete, the dashboard prompts you to Preview & Submit.
  • Open Preview (/Applicant/Preview) — review every section carefully.
  • Submit the application — you receive an application number and a QR code on your dashboard.
  • After submission, the checklist disappears; you can print your application form for your records.
After submission you generally cannot edit the form. Contact admissions before submitting if anything is wrong.

After submission — review & status

Application summary on Dashboard

Your dashboard switches to an Application summary showing your application number, programme, and status. Typical stages:

AcceptedAdmissions has offered you a place — follow the acceptance & admission letter steps on your dashboard.
Not successfulApplication not admitted for this session (wording may vary).

You can still access My profile, Payment history, and print your application form while waiting.

Admission offer — accept, pay, print letter

Applicant dashboard after you are accepted

When admissions accepts your application, your dashboard shows an Admission offered card. Complete these steps in order:

  1. Accept the offer — click I accept this admission offer. You may decline if you do not wish to proceed.
  2. Pay the acceptance fee — Paystack payment; amount is set on your application form.
  3. Receive your admission number — Format: institution + session + programme + 4-digit sequence (e.g. UBACHST27DCH0001). Each programme/session has its own counter.
  4. Print admission letter — Available only after steps 1–3. Use Print admission letter on the dashboard (PDF).
Before student conversion: Registry cannot convert you to a student until you have accepted and paid the acceptance fee.
If admissions changes your programme, department, or level after you paid, you must print a new admission letter when the updated offer appears.

Conversion to student (institution action)

Management: Students Records → Convert applicant to student

This step is performed by admissions / registry staff, not by the applicant. Staff can convert you only after you have accepted the offer and paid the acceptance fee on your application portal. They use Students Records → Convert applicant to student.

Staff accepts you on Applicant File

Sets session, department, programme, and level — this publishes the offer to your dashboard.

You accept & pay on the application portal

Acceptance fee unlocks your admission number and printable admission letter.

Staff searches your application number

Only applicants who completed acceptance payment can be converted.

Staff assigns matric number & programme details

Faculty, department, programme, level, entry type/year, and your matric number are confirmed.

Your data is migrated

Name, email, phone, photo, address, and application file number move to the student database. Your passport image is copied to student records.

Application record is updated

Status set to Accepted, admission cleared, matric stored as admission number, portal marked converted to student.

You do not need to do anything during this phase unless staff ask you for information. Wait for confirmation on your application dashboard or contact from College ICT or your department.

Application portal complete

“Admission granted — you are now a student”

When conversion is complete, logging into the Application Portal shows:

  • A success message: you have finished with the application portal.
  • Your application number and matric number displayed.
  • Confirmation that you completed the application portal (acceptance paid; student conversion pending or done).
  • Sidebar badge: “Student — portal complete” — application form steps are hidden.
  • Reminder to use the student portal with your registered email.

You may still view Dashboard and My profile on the application portal for reference, but you should not expect new application tasks there.

Student portal & next steps

College ICT or your department will guide you from here

After migration, your official activities move to the Student Portal (/login). Login credentials are typically communicated by College ICT or your department/faculty office.

Next action is not automatic on the application portal. College ICT or your department will inform you about:
  • Exact student portal login URL for your campus
  • Username and initial password (often email + phone or matric — confirm with College ICT)
  • Orientation, registration deadlines, and fee schedules
  • Any physical documentation still required on campus

Do not share your password. Change it on first login in Profile → Change password on the student portal.

Tips & common issues

  • Payment not reflecting? Use Requery with your Paystack reference; wait a few minutes and refresh.
  • Cannot log in? Use Application Forget Password; check spam folder for activation email.
  • Wrong photo or document? Fix before final submit; after submit, contact admissions.
  • Already a student but still see application portal? You are converted — follow College ICT instructions for student login; application portal is read-only completion message.
  • Save this guide — use Print / Save as PDF above, then choose “Save as PDF” in your browser if needed.
